Can you provide any tips for uploading OSV documents?

Uploading all appropriate documents for the Operational Site Visit can create a more successful review. There are several items to consider with this process. First, upload ALL required documents in a timely fashion. This allows the reviewer time to review the documents prior to the visit while verifying that the correct information has been made available. If there are questionable documents this allows the reviewer time to request the correct information and have it uploaded prior to the time documents will not be accepted for the review (end of day one).  This also frees up time when the reviewer is on site to get technical assistance in other more meaningful areas. Secondly, it is important to utilize the defined naming conventions; this allows the reviewer to determine what the document contains without actually opening the document. Also, if the same document is requested in multiple chapters, load the document in all sections. This ensures documents are specific to each chapter. Thirdly, the samples that you select should only contain the requested information and you must verify that the documents you are loading are compliant. It is imperative that you make sure there are no errors in the samples and that they are complete and respond to the requested information. For example, in the Sliding Fee sample you should include a patient who qualified for the sliding fee discount and has insurance. Make sure that the sample supports the patient paying the lesser of the coinsurance or the sliding fee discount. It is also helpful when health centers identify the statement or statements within documents that indicate compliance, this again helps streamline the process.
